Information for authors


Submission

In order that the conference Proceedings can be published in a timely manner, authors are requested to make every effort to submit by one month prior to the Conference (by 28 February 2009).  The final deadline for receipt of papers ready for review is the first day of the Conference (31 March 2009).

Please submit your paper at http://pgc.allentrack.net. Full instructions can be found within that site. There are additional help buttons throughout. You will need to register before you can submit. That is very easy. (Note that the PGC site is completely separate from JGS and GSL Books submission sites.) Authors of accepted abstracts will be contacted by e-mail inviting them to submit.

Copyright

Papers will be accepted on the understanding that they have not been published elsewhere and authors (except those in Government employment) will be required to assign copyright to the PGC. Papers will also accepted on the understanding that all authors consent to the submission. Authors will be expected to secure all partner and NOC permissions before submission. A link to the copyright form for you to complete and return will be provided in the submission package upon acceptance.

Format

Papers should be arranged as follows.
  • Title: brief and specific; followed by name(s) and address(es) of authors (including e-mail address of corresponding author)
  • Abstract: this must be intelligible without reference to the paper, and should not exceed 300 words
  • Main body of paper: subdivided into 1st, 2nd and 3rd order headings; omit heading 'Introduction'
  • Acknowledgements (if any)
  • Appendices: (if any)
  • References: in full; authors' names must be keyed as capitals and lower case
  • Tables: each as a separate file
  • Figure captions (you will need to paste these with the figures)
  • Figures in separate files

Refereeing and editing

The relevant Session Editor will send your paper out for review. The Session Editor will handle the papers through the reviewing and scientific editing procedure. The Chief Editors will approve the finalized script for publication. You will be contacted by e-mail with the review feedback.

You will be able to keep track of this process through the online submissions package.

Colour/foldout charges

If you wish to include colour figures/tables in your paper you will be expected to pay the additional cost of printing. These will be charged at £500 for the first figure and £100 for each subsequent figure in the same paper.

Foldouts (maximum size 296 x 450mm) will be charged to authors at the rate of £500 for the first foldout and £100 for subsequent foldouts in the same paper.

Links to the colour/foldout form for you to complete and return will be provided in the acceptance e-mail for your paper.

Movies

Any movie files directly associated with your paper may be uploaded via the online submission system. Please ensure any movies are cited in your text since these citations will link out in the electronic version of your paper.

Virtual Fieldtrips

Authors of Virtual Fieldtrips will be contacted directly regarding submission of their contributions.

Proofs

PDF proofs will be e-mail to the corresponding author of each paper. A deadline for return of the corrections will be given.

Offprints

Corresponding authors will receive an e-mail link to allow them access to the PDF of their published paper. Twenty PDF downloads will be permitted; however, PDF files may be saved to your hard drive and distributed to colleagues for the purposed of legitimate research and teaching.
