Reporting committees

Aims

The Management and Finance Standing Committee (MFC) has two interconnected aims:
  • To oversee the management of the Society
  • To ensure that there are appropriate financial arrangements to allow the Society to maintain its activities and continue to develop
On management, the specific aims are:

i. to ensure that the objectives of the Society are supported by appropriately qualified staff, the necessary administrative procedures and physical facilities

ii. to oversee Health and Safety within the Society and develop the appropriate Health and Safety practices

Concerning Finance, aims are:

iii. to achieve efficient revenue generation and cost effectiveness throughout Society

iv. to provide transparent accounting for each cost centre and for the Society as a whole, which satisfy all audit criteria

v. to generate the maximum possible income for the Society compatible with scientific integrity and charitable status

vi. to husband the Society’s investments prudently

vii. to oversee the Society’s sponsorship and fundraising

Terms of reference

i. to advise Council about the management of the Society in relation to:
  • Society organisation
  • Levels of staffing
  • Staff policy matters
  • Information and communications technology provision and infrastructure
  • Prioritisation of online resources
  • Premises
  • Housekeeping
  • Health and Safety
ii. to produce annual revenue and capital budgets for the Society, and monitor them against the actual results on a quarterly basis

iii. to oversee production of final accounts shortly after the financial year end for presentation to the Trustees

iv. to ensure that all monies and investments held in custody on behalf of the various Funds are correctly managed

Structure

The President will chair the MFC. The Treasurer shall be Deputy Chair. Other members will comprise Officers and up to three other members of Council (including the President-designate). The Treasurer will chair whatever Sub-committees or Panels are necessary to advise on detailed technical matters.

The Executive Secretary, Administrative Secretary and Finance Director will attend meetings of the MFC. The Administrative Secretary will provide the secretariat to the MFC.

Method of working

There will be at least four meetings of the MFC each year, held in advance of meetings of Council.
